Select a SureSmile Case Type

A SureSmile case includes a pre-selected set of products associated with a patient's treatment. Select the case when you start the patient record, or at any time up to the point you are ordering the therapeutic model. Whether you start the therapeutic model order in SureScan or in SureSmile (on the web), you will NOT be able to submit the order until you select the case for the patient in SureSmile.

If you do not plan to order a therapeutic model for a patient, (e.g.,if you order a diagnostic model and use it to fabricate aligners) you do not need to select a case.

Special considerations for practices with very early contracts

If you are one of the few practices on an early contract that includes diagnostic models, you must determine if you want to order a full case before ordering the first diagnostic model. If you are on an early contract and select a standard case before ordering a diagnostic model, the diagnostic model will be included in the cost of the case, and the case fee will be charged as soon as the model order is submitted. If you select a case type of (none) before ordering the model, the diagnostic model will be priced as an a la carte item. If you are unsure if you have contract of this case, please contact SureSmile Customer Care.

Choose a case when record created

If you add records to SureSmile using the “Add Patient” button, you will see an option to select a case. You may choose your case now, or wait until you are getting ready to order a therapeutic model.*

  1. Click Add Patient and fill in the patient’s information. (Do not click Save yet if you are also ready to choose your case.)
  2. Click Select Case Type. A new page offers cases.

Note: The Select Case Type button is unavailable if the Standard case is already in use (i.e. you have already selected this case and ordered a product). This keeps you from incurring unnecessary fees, because with a standard case, you can order any additional products not included in the standard case separately. This is much less expensive than ordering a second case for the same patient.

The Change Case Type button appears after you have selected a case but then cancelled a product  that is on that case's menu. This allows you to either change to a different case or start over with the same case.

  1. Select a case (Standard, Extended, Aligner, None) from the drop-down list.
  2. Click Save Changes. The page updates to reflect your choice. A Change Case button allows you to switch to the other case at any time up to the point the case is billed (when you submit the Therapeutic Model*). The Available column reflects the services available in this case. After you use the service, the counter will decrease (i.e., from 1 to 0).

Notice this area tracks the products that are available or used since you selected a case:

  1. When you are finished, click Save. The new patient record opens.

* For the few practices on an older contract that includes diagnostic models, the “Change Case Type” button will no longer be available after the first model order (diagnostic model or Therapeutic) is submitted against the case.

Tip: If most of your cases will be the Extended case, you can set this type as your default for new patient records on the preferences page under the Appearance tab.

Choose a case when adding to patient record

If you do not choose a case when the patient record is created, you can use the Edit feature on the Patient Overview.

  1. Click Edit. The Patient Profile page opens.
  2. Click Select Case Type. A new page offers cases.

  3. Click Save. The software returns to the Patient Overview.

Choose a case when submitting the therapeutic model order

You can wait to choose a case until you submit a therapeutic model order.

  1. From the patient overview, click the green New button and click Select Case Type ($) from the drop-down menu. A new page offers cases.
  2. Select a case (Standard, Extended, Aligner, None) from the drop-down list.
  3. Click Save Changes. The page updates to reflect your choice and you are returned to the Patient Overview page:
    • A Change Case Type button allows you to switch to the other case at any time before the case is billed (when you submit the therapeutic model).
    • The Available column reflects the products available in this case. After you use the product, the counter will decrease (i.e. from 1 to 0).
  1. When finished, click Save.
  2. Click:
    • the patient's name in the SureSmile bar to return to the Patient Overview, or
    • the practice name in the SureSmile bar to return to the Clinic Overview.

Once you've selected a case, SureSmile uses a $ sign in the New menu to indicate optional products items not included in the case. The $ indicates there is an addition fee for these products.

Best Practice: For patients who will have a setup, choose your case before ordering a diagnostic or therapeutic model.

Purchase additional cases or products as needed

You can order additional cases or products, as needed (e.g., if you retreat the patient). Once a therapeutic model has been submitted, the Change Case button on the Patient Profile page changes to Select Case Type. A list of the cases purchased for the patient listed by date purchased with the SureSmile user who selected the case is shown under the Cases purchased section of the page.

Note: If you accidentally order a case,  you will not incur the case fee if you do not order any products.

The Products included in cases section tracks the total products available (as a sum across all purchased cases). SureSmile keeps track of the products even if your orders overlap between cases. For example, you may purchase a second case before ordering the Setup for the previous case.

Tip: It is usually more economical to purchase additional models a la carte instead of incurring a case fee associated with another case.

Tip: To save an extra click when viewing tasks on the Tasks list, click the Show Card icon to open the patient card.
